Administrative Support:
- Provide essential support to staff and management, including tasks such as filing and document management.
- Efficiently manage office communications, handling emails, calls, and correspondence.
- Answer and direct phone calls, and sit at the reception to assist visitors and clients.
Reception Duties:
- Serve as the primary point of contact for visitors, ensuring a warm and professional welcome.
- Manage the reception area, keeping it clean and organized.
- Handle incoming and outgoing calls, directing them appropriately and taking messages when necessary.
Office Organization:
- Ensure a well-stocked office with necessary supplies.
- Take charge of scheduling meetings, appointments, and conference room reservations.
- Maintain a tidy and systematically organized office space.
Record Keeping:
- Oversee records, databases, and files for easy access and retrieval.
- Handle invoices, expense reports, and financial documents accurately.
Communication:
- Be the warm and welcoming face of our office for visitors and clients.
- Manage mail and package distribution efficiently.
- Send regular email updates to clients regarding important matters, ensuring clear and timely communication.
Technology Management:
- Provide basic IT support to ensure office equipment functions smoothly.
- Coordinate necessary repairs or replacements for office equipment.
Event Coordination:
- Organize office events, meetings, and training sessions to enhance team collaboration.
- Handle travel and accommodation arrangements for staff when needed.
Compliance and Policies:
- Uphold office policies and regulations to maintain a safe and secure working environment.
- Assist in implementing security and safety measures.
Team Support:
- Collaborate closely with the administrative team.
- Assist colleagues with administrative needs and projects.
Managing Partner Schedule and Meetings:
- Maintain an up-to-date calendar for managing partners, ensuring that their meetings and appointments are organized efficiently.
Office Boy Management:
- Oversee the office boy team, create rosters, and ensure they carry out their duties effectively to maintain a smoothly running office.
Office Hygiene:
- Take responsibility for maintaining a clean and hygienic office environment, coordinating necessary cleaning services, and ensuring the office premises are always presentable.
Details:
- 5-day workweek.
- Weekends off (Sat/Sun).
- On-site role, Nariman Point, Mumbai.
Requirements:
- Strong communication skills.
- Graduate/Diploma.
- Experience: 2-3 years.
